Hospitality Services Assistant

Part-time position approximate hours will be afternoon-evenings and weekends.  

Purpose of the Position

To provide comprehensive communication services to residents/team members and guests. Will be responsible for all first and ongoing impressions of campus. Will be the primary source of information and coordination for all campus activities. Will oversee and coordinate, along with team members, hospitality services to residents, guests, team members and all customers in accordance with Friendship Haven’s philosophy on excellent customer service.

Responsibilities

Core Responsibilities

  • Answer telephone calls in an efficient manner, answering questions when able or directing calls to appropriate team members in order to best meet the callers’ needs, following up when appropriate.

  • Process incoming/outgoing mail for residents and employees, preparing reports, as needed, by the Business Office.

  • On a daily basis, review various meeting room reservations, campus events, funerals, etc. in order to answer questions from residents/guests.

  • Maintain Friendship Haven’s internal resident closed circuit television system and campus digital signs.

Customer Service

  • Proactively welcome and greet visitors as they enter the Friendship Haven Welcome Center, answering questions and/or guiding them to appropriate neighborhood/team member.

  • Be knowledgeable about all areas of campus, answering questions and/or dispersing information, as needed.

  • Ensure customer service excellence is provided at all times along with communicating and providing needed information to security.

  • Other responsibilities, as assigned.

Campus Transportation Coordination

  • Responsible for scheduling transportation for all campus residents’ appointments, as requested.

  • When possible, encourage and facilitate resident recreational transportation, with the assistance of Life Enrichment and the Activity Director.

Gift/Coffee Shop Coordination

  • Be the primary Pocket Door contact, providing customer service in the gift/coffee shop.

  • Create and promote monthly coffee and/or food specials.

  • Ability to prepare food and coffee drinks daily.

Knowledge, Skills and Abilities

  • Ability to deliver excellent customer service and hospitality services.

  • Attention to detail and critical thinking skills.

  • Abide by Friendship Haven Standards of Personal Performance and Code of Ethics.

  • Ability to work effectively with co-workers in a team environment.

  • Knowledge of computer/technology/phone system.

  • Support the mission, vision and values of Friendship Haven.

  • Proficiency in writing and communicating with team members and the general public.

  • Accountability to complete tasks with minimal supervision.

  • Ability to be tactful in resolving customer service concerns and situations.

  • Ability to be flexible with scheduling and assignments.

Minimum Requirements

  • Education: Level of education to communicate effectively.

  • Experience: Knowledge of computer software (Word, basic Excel, PowerPoint, Outlook, etc.)
